O'Melveny has an immediate opening for a Records Managerto be basedin one of our West Coast offices. The Records team oversees all aspects of Records management at O’Melveny and Myers. The Manager will work closely with the attorneys and staff in one of two regions to provide the support and training needed and serve as a champion for the firm’s Information Governance (IG) efforts. The Manager will also help our Records staff continue their professional growth and knowledge of sound IG practices. We partner with every department across the firm, particularly the General Counsel and IT, to protect our clients and manage risk through the development and implementation of appropriate policies and procedures. The Manager is a key leader within the Records team with excellent communication and relationship building skills for interactions with these cross functional stakeholders.

Essential Duties and Responsibilities:

  • Manage staff and perform quality control reviews to ensure compliance with all department policies, procedures and standards
  • Maintain the confidentiality and security of all client files that are being stored or transferred
  • Provide guidance and training to attorneys and staff on best practices for archiving, retrieving and maintaining client data/files and to ensure compliance with Records policies and procedures
  • Manage Records projects to ensure that goals and milestones are achieved within target dates
  • Responsible for offsite storage vendor relationship(s), including invoice analysis and approval, as well as the development and review of special contracts
  • Oversee space management projects (office renovations or changes)
  • Oversee the attorney/staff departure process and proper archiving of client files/data
  • Provide support to the IG Manager with file review to expedite file releases and oversee compliance with transfer protocols and procedures
  • Oversee the proper intake of client files and data into the firm’s document management systems
  • Assist with the use of artificial intelligence and other technology tools such as Relativity to efficiently sort, filter and review electronic records
  • Compose and conduct staff evaluations, defining goals/expectations to advance growth and development
  • Performs other duties and responsibilities as assigned
